Privacy Policy

Last updated: May 22, 2026

Note: This is a standard template intended to be reviewed and finalised by a qualified lawyer before launch — particularly for GDPR (EU/UK), CCPA (California) and Pakistan Personal Data Protection compliance.

1. Who we are

This Privacy Policy describes how AI Systems Dynamics LTD ("AI Systems", "we", "us") collects, uses and protects your personal information. AI Systems operates through legal entities including AI Systems Dynamics LTD (United Kingdom) and AI Digital Systems Pvt Ltd (Pakistan).

2. Information we collect

Information you give us

  • Contact details — name, email, phone number, organisation, when you submit a form or contact us directly.
  • Account information — credentials and profile data when you register for our Services.
  • Communications — content of messages you send us through forms, email, chat or other channels.
  • Payment information — for paid Services, processed by our payment partners; we do not store full card numbers.

Information we collect automatically

  • Usage data — pages visited, features used, time spent and actions taken in our Services.
  • Device & technical data — IP address, browser type, operating system, device identifiers, referring URLs.
  • Cookies and similar technologies — see "Cookies" below.

3. How we use your information

We use your information to:

  • Provide, operate and maintain the Services.
  • Respond to your inquiries and provide customer support.
  • Process payments and manage billing for paid Services.
  • Communicate updates, security notices and (where you have opted in) marketing material.
  • Improve and develop new Services, including analytics and product research.
  • Comply with legal obligations and protect our rights and the rights of others.

4. Lawful bases for processing (GDPR)

Where GDPR applies, we process personal data under one of the following lawful bases: contract (to deliver the Services you signed up for), legitimate interests (to run and improve our business), consent (for marketing communications, optional cookies, and similar opt-in scenarios), and legal obligation (where required by law).

5. How we share your information

We do not sell your personal information. We share it only with:

  • Service providers who help us run our business (hosting, email, analytics, payment processing) — bound by appropriate confidentiality and data-protection terms.
  • Other AI Systems group entities for legitimate internal purposes.
  • Authorities where required by law, regulation, court order, or to protect rights and safety.
  • Business transfers in the event of a merger, acquisition or restructuring — with notice where required.

6. International transfers

We operate in multiple countries (currently the United Kingdom and Pakistan, with planned entities in the UAE and Singapore). Your information may be transferred to and processed in countries outside your home jurisdiction. Where applicable, we put appropriate safeguards in place (such as Standard Contractual Clauses for EU/UK transfers).

7. Cookies and tracking

We use cookies and similar technologies to operate the Services, remember preferences, and measure usage. You can control cookies through your browser settings. Some functionality may not work properly if you disable cookies.

8. Data retention

We retain personal information for as long as needed to provide the Services and to fulfil the purposes outlined in this Policy, then for the period required to meet legal, accounting or reporting obligations.

9. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion of your personal data (subject to legal exceptions).
  • Object to or restrict certain processing.

We apply reasonable technical and organisational measures to protect your information — including encryption in transit and at rest where applicable, access controls, and security monitoring. No system is perfectly secure, and we cannot guarantee absolute security.

11. Children's privacy

The Services are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us.
